Which TMS platform is better: premise, proxy or cloud?

The best translation management system (TMS) is an ideal combination of function, features, and performance.

It’s back-to-school season, so Lingotek is offering a few lessons on the basics of translation with our educational blog series, Translation 101. The series will be addressing and answering the most common questions our customers have about translation terminology, products, and services. This week, we are talking about which translation management system (TMS) platform is the best.

What is a translation management system (TMS)?
A TMS is software that serves as a hub for managing localization operations. A TMS is usually a combination of a computer-assisted translation (CAT) tool, translation memories (TM), project management tools and workflows. A TMS may also include tools for managing vendors, localization quality and localization-related finances. A TMS can integrate with existing applications and coordinate linguists and help you monitor the localization process from start to finish.

Functions of a TMS

  • Translation Management
  • Dashboards, status reporting
  • Workflows
  • Invoicing
  • Language Processing
  • File upload/download
  • Translation CAT tools
  • Centralized repository for linguistic assets:
  • Style guides
  • Glossaries
  • Translation memories (TM)

An agile TMS will seamlessly integrate with your existing (or future) content ecosystem
and scale for changing content volume and number of users.

3 types of TMS: premise, proxy and cloud

The scalability and agility of a TMS is critical. It must seamlessly integrate with your existing (or future) content ecosystem and scale to changing content volume and number of users, so the most important element to consider when choosing a TMS is whether it is an on-premise, proxy, or cloud-based system.

Beware the expense of on-premise systems
On-premise systems require businesses to purchase equipment or to work with an outsourced provider. They have older, IT architectures that need expensive, routine maintenance. Software updates are less frequent on-premise, and may require your IT team to perform the installation. On-premise systems can also require expensive service contracts and/or the need to staff IT professional to maintain the system.

Proxy translation limits usability
Proxy refers to a vendor computer system acting as a proxy for your website URL. When a user wants to see your content in a different language, that translated version is displayed as a separate web page, which is acting as a proxy for the original page. The server goes to the original source language, extracts the content, translates it, and displays it on a separate, localized web page. Proxy translation has traditionally been preferred by companies that don’t have dedicated staff to handle translation or that may not be using a content management system (CMS) to create and publish web content. Proxy can be a solution for those types of companies and may be faster to implement, but there are downsides to a proxy-based translation system.

Problems with a Proxy TMS

  • Expensive and prolonged implementation
  • Frequent downtime
  • No real-time access
  • No direct integration
  • Lack of security and control
  • Costly maintenance and upgrade
  • Hard to make updates and changes
  • Lack of scalability
  • Does not support brochures or video
  • Can’t translate dynamic content:
  • Drop-down menus, forms, logins, etc.
  • May affect SEO

Most enterprises that start with proxy eventually outgrow the technology as their translation needs expand. Proxy solutions aren’t easy to scale and require additional costs to upgrade or add more file space. This leaves companies that need scalability looking for a more agile translation solution that can keep pace with the modern enterprise’s need for dynamic global content.

Content that is constantly changing needs a dynamic and agile tool
to keep up with the increasing demand for round-the-clock translation and distribution.

Cloud-based TMS: real-time, scalable and agile
Lingotek’s TMS is cloud based. It can store, track, and manage multilingual content across different enterprise applications allowing continuous, integrated translation in real time.
